Management Sciences for Health is recruiting a Administrative Assistant, to be based in Luanda, Angola.
Duties
- Petty Cash Custodian
- Make small purchases
- Purchase of flight tickets and hotel bookings for all staff
- Maintain the MSH Angola Property List
- Maintain and control the office supplies warehouse
- Receives all goods purchased for MSH Angola
- Monitoring of stationery levels ensuring regularly used items are kept in stock while at the same time ensuring stationery levels are economically low
- Collecting and filing stationery request forms from staff members prior to issuing of stationery
- Ensure that equipment such as copiers, fax machine and others, are in good working order at all times
- Replenish copy paper of all printers on a daily basis. Replenish printer cartridge when needed
- Supports the Office Manager to control the office in terms of lightning, drinking water, water pump, air conditions, and vehicles fuel
- Receive and send all documents via courier services and maintain appropriate registers
- Accept and log all deliveries, check auto notification and verify that contact was notified and package was picked up
- Assist in planning and provide support for meetings and other special events
Booking of staff meetings and any other meetings
- Managing the MSH Office Reception according to required standards
- Maintain and distribute the MSH internal telephone list and staffs addresses Lists as needed
- Provides a general office support function by performing various office duties when requested, e.g. filling, stock taking, arranging transport
- Any other duties as assigned by supervisor
- Perform all tasks in an ethical manner and according to MSH policy and donor requirements
Requisites
- A three year Diploma in Administration or a minimum of two years relevant administrative experience in supporting work group
- Fluency in Portuguese essencial; Fluency in English is a plus
- Strong administrative, organizational, and written and verbal communication skills
- Highly organized and able to work well under pressure
- Ability to carry out independent work, to take initiative, and to use good judgment
- Strong PC skills to include knowledge of Microsoft Word, Excel, PowerPoint, Outlook, internet research and database use
- Familiarity with Microsoft Outlook desirable
- Ability to interact with professionals at all levels located in different parts of the world
- Knowledge of USAID and other similar organizations
- Preferably possess a valid Angolan drivers license
